Privacy Policy

BizBee is operated by ATERNA LLC (“BizBee,” “we,” “us”). We build AI customer service agents (“bees”) that answer chats, calls and emails for businesses. This policy explains what we collect, why, who processes it and the choices you have.
Who this policy covers
- Customers: businesses that sign up for BizBee, and the people who use their accounts.
- Visitors: anyone who browses bizbeebot.com or talks to our own sales bee.
- End users: people who talk to a customer's bee. The business that runs the bee decides what it collects and why, and we process that information for them under our Data Processing Addendum. For questions about a specific business's practices, contact that business. If you contact us, we will pass your request to them and help them answer it.
What we collect
- Account details: your name, business name, email address, plan and a hashed password.
- Business content: the website pages your bee reads, documents you upload and answers you write for it.
- Conversations: chat messages, call audio and transcripts between a bee and the people it talks to, plus details they share, such as a name, phone number, email address or order number.
- Memory: facts a bee saves about a person so it can pick up where they left off. On the free plan, memory is kept for 30 days. On paid plans, it is kept until the business deletes it, the person asks us to delete it, or the account closes.
- Requests you send us: demo requests, partner applications, support emails and their contents.
- Billing: Polar is our merchant of record and collects your payment details. We receive your plan, payment status and limited billing details. We never see or store full card numbers.
- Technical data: IP address, browser and device details in our server logs; a cookie that keeps you signed in; and a random visitor ID stored in the visitor's browser so a bee can recognize someone who comes back.
We do not use advertising cookies or third-party analytics trackers on bizbeebot.com.
How we use it
- To run bees: answer questions, remember customers, capture leads and hand conversations to the right person.
- To show customers their conversations, leads, usage and the questions their bee could not answer.
- To bill, support and communicate with customers about their accounts.
- To keep BizBee secure, prevent abuse and enforce our Terms.
- To fix problems and improve BizBee. When we review a conversation, it is to fix a problem or because the customer asked us for help.
- To meet legal obligations.
We do not sell personal information. We do not share it for targeted advertising. We do not use customers' content or their end users' conversations to train AI models for anyone else.
AI processing
Bee replies are generated by AI models running on our instructions. We send a model only what it needs for the reply: the conversation, relevant business content and what the bee remembers about that person. Bees tell people they are AI assistants. They answer from the business's own content and hand off to a person when they are unsure.
Who we share it with
- Service providers that run BizBee for us, such as hosting, database, payments, voice calls, AI models and email delivery. The current list is in our Data Processing Addendum. They may use the data only to provide their service to us.
- The business that runs a bee, which receives its own end users' conversations, memories and leads.
- Authorities, when the law requires it or to protect people from harm.
- A buyer or successor, if BizBee is sold or merged. This policy would continue to apply to your information.
- Anyone else, only with your permission.
Calls and recordings
Bee phone calls are recorded and transcribed so the business can review them and the bee can remember the caller. At the start of each call, the bee says it is an AI assistant and that the call may be recorded. Businesses are responsible for any additional notice or consent their industry or location requires.
Sensitive information
Bees are not built to collect payment card numbers, bank account numbers, government ID numbers, passwords or health information. Please do not share them with a bee. BizBee is not designed for HIPAA-regulated data, and we do not currently sign business associate agreements.
How long we keep it
- Account data is kept while the account is open.
- Free plan memory is kept for 30 days.
- When an account closes, we delete its business content, conversations and memories within 30 days. Copies in backups expire on their normal schedule.
- We keep billing and tax records as long as the law requires.
Your rights and choices
Depending on where you live, including Colorado, California and other US states, the EU and the UK, you may have the right to:
- know what personal information we have about you and get a copy of it;
- correct it;
- delete it;
- opt out of sale, targeted advertising and profiling (we do none of these);
- appeal if we turn down your request.
Customers can delete conversations, memories or their whole account from the dashboard. Anyone can email privacy@bizbeebot.com. We answer within 45 days. If we need more time, we will tell you why, and the extension will be no more than another 45 days. We may need to confirm your identity first. An authorized agent may make a request for you with your written permission.
If we decline your request, reply to our answer to appeal. A different person on our team will review it and respond within 45 days. If you are still not satisfied, you can contact your state attorney general. We will not treat you differently for using any of these rights.
Security
Data travels over encrypted connections. Our hosting and database providers encrypt stored data. Passwords are hashed with scrypt, and access to production data is limited to people who need it to run the service. No system is perfectly secure. If a breach affects your information, we will notify you as the law requires.
Children
BizBee is a business service and is not directed to children under 16. We do not knowingly collect their information. If you think a child has given us information, email us and we will delete it.
Where data is processed
BizBee runs on servers in the United States. If you use BizBee from another country, your information is transferred to the United States.
Changes
We will post updates here with a new date. If a change materially affects how we use your information, we will email customers before it takes effect.
